ClearCo named a 2026 Talent Management Technology Leader by Nucleus Research - Read the report

Our team spent RecFest 2026 connecting directly with hundreds of talent acquisition leaders. Whether chatting between the event’s 50+ speaking sessions or running our live T-shirt printing at the ClearCo booth, we had honest conversations about what is working in hiring today and the daily tech hurdles recruiting teams are eager to solve.

Rather than talking about big abstract ideas, these floor conversations centered on daily reality. Recruiters work hard to attract qualified candidates and keep hiring managers on the same page. Yet clunky tools, broken steps, and slow vendor handoffs drag down speed, increase time to fill, and delay key hiring decisions across the whole hiring process.

Here is a recap of the top five themes recruitment teams brought to our booth. We cover how recruiters on the ground are handling them and how modern talent acquisition strategies are changing to help.

1. Disconnected Software and Manual Workarounds#

In almost every talk at RecFest, recruiters brought up fragmented software. Here is a look at the everyday chaos: a job posting on one system, screening in an applicant tracking system, background checks with a third party, and onboarding managed across separate spreadsheets.

One TA professional noted that typing candidate details by hand wastes hours every week. Simple typos delayed a new hire's first check, increased time to hire, and created a bad start on day one.

Fix the Friction with One Unified Platform

Talent acquisition teams want to connect their software so candidate info flows easily. By bringing hiring, onboarding, and core data onto one central database, manual re-entry stops. When a candidate accepts an offer, their profile turns into an employee record. This starts background screening with one click and sends core details to payroll for a positive candidate experience.

And it does not stop at hire. ClearCo grows with teams on their own schedule. When you are ready to add performance management, learning, employee engagement, and compensation management, those tools live on the exact same platform.

2. Separate Background Checks Causing Candidate Drop-Off#

Speed is critical in candidate sourcing and hiring, especially when competing for top talent who often have other offers. Recruiters feel stuck with background check vendors that take days to show verified results without giving clear updates.

When communication stops in a slow portal, potential candidates might miss alerts asking for criminal history or identity records. In fast-paced sectors like healthcare, retail, and manufacturing, these delays raise cost per hire. Managers leave open positions unfilled while team members burn out covering the extra work. Recruiters want background screening embedded directly in their main applicant tracking system.

Connect Screening directly into Your Daily Workflow

Fast screening should not mean dropping compliance or forcing recruiters into extra portals. With ClearCo's embedded background checks, background screening starts right inside the recruiter's native workflow as soon as an offer is made. Real-time status updates keep hiring teams informed inside the candidate record, while quick text alerts prevent delays so you keep high quality candidates engaged.

3. Outdated Tools Slowing Down Candidate Outreach#

Many recruitment teams we met felt stuck using legacy applicant tracking systems. Recruiters described these platforms as plain record archives rather than active tools built to attract job seekers or help hiring teams work together.

Recruiters noted that old systems force candidates to set passwords and re-type resume details into long forms. This causes drop-offs during application. Inside the team, old systems lack text messaging, self-service interview links, and shared scorecards. As a result, recruiters end up juggling messages in basic email inboxes and tracking notes across separate spreadsheets.

Use AI Sourcing and Mobile Tools to Save Time

Recruiters want modern hiring tools that help publish open roles fast, automate interview schedules, and smooth out the recruiting process. Modern platforms keep job seekers engaged with mobile forms, automated text messages, and salary data. Built-in AI tools, like an agent to draft a clear job description, or a sourcing tool to search your existing talent pool and rank qualified candidates, handle heavy admin tasks while keeping recruiters in control of all hiring decisions.

4. Solo Recruiters Overwhelmed by Admin Work#

We spent time talking with single-person HR teams and solo recruiters who handle every step of hiring alone. They shared how hard it is to balance candidate sourcing, application reviews, interview schedules, offer letters, compliance, and onboarding without extra help.

Several recruiters mentioned using external staffing agencies to fill open roles under heavy workloads. But agency fees push up cost per hire by taking 20% to 30% of a new hire's first-year pay. That costs too much over the long term. When one recruiter manages many open roles and hundreds of files, follow-up messages get missed. This leaves a bad impression of the company culture.

Use Smart Automation to Grow Capacity and Reduce Agency Fees

Solo recruiters are turning to practical tools for routine tasks so they can focus on direct candidate connection. Automated screening questions and smart matching make sure recruiters spend time with candidate profiles that fit the role. Self-service calendar links let job seekers book interviews directly, while automated status messages keep everyone updated with minimal effort.

5. The Gap Between Hiring and Keeping Great Staff#

A big topic among leaders at RecFest was the disconnect between talent acquisition and long-term retention. When experienced staff leave, companies lose critical knowledge. If key processes are not saved, team members struggle to keep quality high. Yet recruiting teams are rarely given data on quality of hire or how new hires adjust to company culture over the long term.

Recruiters noted that when onboarding lacks clear structure or growth paths, early turnover goes up. That means all the work spent building talent pipelines and hiring that employee starts all over again. Leaving a job open creates extra costs for job postings, recruiter time, onboarding, and lost work output.

Connect Recruitment to Retention and Growth

Leading teams link the recruiting process directly to onboarding, performance goals, and ongoing learning. Giving clear 90-day onboarding steps, setting goals early, and encouraging regular check-ins helps new hires adjust fast. Connecting recruiting data with performance reviews helps companies build a positive company culture, protect internal knowledge, and improve retention over the long term.
